Convert physical shares to demat with the help of Zerodha

We often hear stories of people stumbling upon old share certificates tucked away in cupboards or piles of documents—sometimes worth lakhs. However, the initial excitement usually gives way to a common question: What should I do with these?

There was a time when owning shares meant holding actual paper certificates with your name on them. Buying or selling meant dealing with couriers, signatures, and long wait times. And with that came the risk of loss, damage, or even forgery.

To solve these problems, India introduced Demat accounts in 1996. Just like email replaced letters and UPI made cash transfer easier, demat accounts digitised shareholding. It made investing faster, safer, and far more convenient.

But even today, many investors—especially from older generations—still hold physical certificates. Some people even discover forgotten certificates in the names of their parents or grandparents. Either way, there’s one thing you need to know: you can’t sell or transfer these shares until they’re converted into demat form.

Why should you dematerialize your shares?

If you’re holding shares in physical form—whether they’re yours or inherited—it’s important to convert them. Once dematerialized, your shares are secure, easy to manage, and ready to be sold or transferred anytime you want. To dematerialize the physical shares, you will need a demat account in the shareholder’s name, and you can open one with Zerodha for free.

How to convert physical shares to demat?

Before you start the process, check for a few key details:

  • Correct company name and face value: The share certificate must reflect the current name of the company and its current face value. You can check it on the NSE and BSE websites.
  • Matching names: The name on the certificate should exactly match the name on your demat account.
    • If your name has changed (e.g., after marriage), you’ll need a notarized marriage certificate
    • Or a gazette notification/affidavit stating that both names refer to you

For spelling differences across multiple certificates, you’ll need notarized copies for each company.

  • Joint holdings: If the shares are jointly held, the name sequence must match what’s in the demat account. You can’t convert single-name shares into a joint account, or vice versa.

What you’ll need

Here are the documents required:

  • Dematerialization Request Form (DRF) (PDF). Use a separate DRF for each company. Use the DRF annexure (PDF) if you run out of space. For locked-in shares with different release dates, use separate DRFs.
  • Address proof: If your address has changed since you received the shares, you’ll need to submit self-attested copies of both:
    • Old address proof (e.g., dividend warrant, allotment advice)
    • New address proof (e.g., Aadhaar or passport)
  • Self-attested copy of your PAN
  • Original share certificate

Once you’ve gathered all the documents, fill out the DRF form. Need help? Watch this step-by-step guide, or check out this support article.

After filling out the form, create a ticket and share a soft copy so we can verify everything. If you don’t have a Zerodha account, select “No” while creating a ticket.

Note: Dematerialisation charges include ₹150 per share certificate and a courier charge of ₹100 per dematerialisation request, as Zerodha must courier the forms to the RTA. Additionally, a GST of 18% is applied to the total amount.

    My father has a few shares in banks etc. many years back we did approach IIFL to delay this and some process happened and there was an account opened and nothing happened . We are still not sure that they are demat format. However we are receiving the dividend and bonus etc as intimations and cheques. Today he is 70 plus and kit sure if he can handles this demat process again etc. is there a way that these can be transferee to my zerodah without any hassle and get this sorted out . Seeking advise and directions please.

    I have shares of Hexaware Technologies. Earlier Hexaware share I had was in Zerodha account but later Hexaware had delisted their share but I kept on holding their share . Now once again Hexaware had listed their share in the stock market . Though I still have the share but it\’s now not listed in my Zerodha account . Though I get mail from Hexaware Tech on regular basis as share holder and also CDSL and NSDL account summary show the holding . I want to know what is the process to get the share listed again Zerodha account .

    there are some shares which have been transferred to IEPF that are standing in my name. Somebody has lodged that shares in the company for transfer in his name but the company did not transfer shares in his name. Can I recover these shares from IEPF. If yes what will be the procedure and whether the transfree can go to Court. The transfer deed is attached ( year 1993 ROC stamp is affixed on the transfer deed) . Also please let me know what is the law in such cases.

    Hi, I am holding share certificates in my spouse name, the certificate name is different from Aadhar card but both the name are given to Income Tax Authority as Are you known by any other name and name you want on your PAN Card.     The certificate name matches with Income Tax Assessment, but Aadhar card submitted with PAN was valid.

      Hi Sushil, the dematerialization process for Deepak Fertilizers and Oswal Agro is straightforward; you can follow the steps given in the main post. The name of Bindal Agro was changed to Oswal Greentech in 2011; you will have to get a new share certificate from RTA for this company before converting.       Reliance Petroleum was merged into Reliance Industries Limited. You\’ll get shares of Reliance Industries.

If not, you can reach out to the RTA, who will issue new certificates, after which you can convert them to demat form. RTA details can be found on company or NSE and BSE websites.

      Hi Dharmendra, if physical shares are held by an individual, then they can only be dematerialized to an individual account. The same applies for jointly held physical shares; you can dematerialize them only in a joint account.

      If you are the owner of the shares , you may write in to the RTA for letter of entitlement. Once recd., create a login with MCA . You can upload all docs. on MCA and then courier hard copy of all Docs. uploaded on MCA website to the registrar of the company for which you hold shares ( be patient though )

    Such a useless blog. 99% of the times, shares in physical form are in the name of father, grandfather,etc
    This blog does not address that situation neither handles it. Most cases the address will also not match because most of us already moved from ancestral house/city. And today\’s generation using major of zerodha who hold the digital shares already. So no use of this process initiative by zerodha unless it handles ancestral shares.

    Funny to read \”name should match, address should match\”. If my zerodha account name is already matching to my grandfather\’s name n address rhen what\’s the use if these services?

    I tried this once for a friend in Zerodha. The certificates were returned by zerodha, as the signatures were not matching. Tried Local Zerodha office several times for a remedy. ( Do I do an affidavit or what sort of proof remedey is needed.) There was not proper guidance availble.
    The certificates are still with my friend.

    What is the remedy , if the signature,made at the time of application and now, are not matching?
